Black Out Dates
Blackout dates let you mark days when your gym is closed or unavailable, ensuring that sessions, enrollments, and fees are not applied during that time. You can customize black out dates per location! Trials, Drop-Ins, Make-Ups, and Parties will be unavailable to schedule on that day - and the parent app will show anything as cancelled on that day.
How to Setup:
- Go to Settings > Business Details
- Under the Black Out Date section - click the green + button
- Display Name: This is for internal use
- Select the day or utilize the multi-day field
- Location: Assign the location that is closed for the day
- Issue Makeup Token: This is an optional field that allows you to issue a make-up token to active recreation enrollments that would have met this day.
- Select which type of enrollment to apply: rec classes, team classes, or parties. Events and Camps will not be affected by blackout dates.
- Click Save!
Things to note:
- When a Black Out date is made for multiple locations - it will save those as separate lines on the Black Out date table. If you need to edit them, you need to edit them on both.
- Depending on how you have tuition setup for your classes Black Out dates will do different things. Look at the Billed Per configuration under a tuition or fee to better understand:
- Flat - this will not adjust the price for black out dates and will stay the same
- Per Class - this will look up the amount of times a class meets within a specific month and bill the family as well as calculate out the price for black out dates.
