Trials
Trials are a feature of recreational classes that allow an athlete the ability to 'test out' a class prior to enrollment. Trials are defined per rec class, so each class can have different settings. This feature is shown on the One Time Enrollments tab of the rec class. Trials are not enabled as a default when a rec class is created, but admin has the ability to enable them and define the options for this feature.
Configuration Options
The options available for setting up trials are defined in the table below. Open a recreation class and select the One Time Enrollments tab on the side nav to access the page. To modify data on this page, first select the pencil icon for edit mode and then make the below selections.
| Report Configurations | Options | Description |
|---|---|---|
| Enable Trials | Yes No |
Default is not enabled. If trials are to be allowed in the rec class, select Yes. |
| Trial Cost | Dollar amount | Once trials are enabled, admin can set a cost for enrolling into a trial. This can stay at zero or be set to a desired value. |
| Assign Billing Category | Drop Down of Billing Categories | If trials are enabled, a billing category MUST be selected, even if the trial cost remains at zero. All billing categories will be available in the drop down. Many businesses may have a billing category called Trials specifically for this. |
| If Occurrence Is Full | Allow Trial Don't Allow Trial |
When trials are enabled, this drop down allows the admin to select to Allow Trial or Do Not Allow Trial once the occurrence of a rec class is full. |
| Set Maximum Trials Per Class | Yes No |
When trials are enabled, admin can determine if they want to limit the number of athletes in a class that are doing a trial. |
| Maximum Trials Per Class Per Day | Number / Amount | When trials are enabled and Set Maximum Trials Per Class is set to Yes, this number must be entered to define per class, how many trials will be allowed. This allows admin to limit the number of athletes doing a trial for any given class day. |
| Allow Trial Sign-Up on Parent App | Yes No |
When trials are enabled, the admin can allow Parent App to enroll athletes into a trial. If this option is set to No, the Parent App will not be allowed to enroll in trials and only admin can manage trial enrollments. |
| Do Trials Require Approval | Yes No |
When trials are enabled, and Allow Trial Sign-Up on Parent App is set to Yes, this option is defaulted to Yes, where admin will be required to approve all trials requested from Parent App. If this option is set to No, automatic enrollment into a trial by the parent will be accomplished from Parent App. |
After all selections are made to set up trials for the rec class, select Save button.
Book a Trial in Admin Dashboard
Parent App
When settings on a rec class allow trial sign-up on Parent App, the trials will be shown during enrollment process once a class is selected. A tab for Trial will appear next to the Class tab, as seen in the image below. When Trial tab is selected, the available trial classes will be shown with the pertinent information, such as age/gender requirements, class level, type and trial fee. The drop down within the trial class allows the parent to select a specific trial date. After the date is selected, Add Trial to Cart will put the request into the shopping cart and the enrollment process can be continued. If trials are not enabled, the Trial tab will not appear on this page.
