One Time Enrollments

One Time Enrollments refers to athletes in your recreation class that are not on the recurring roster for the class. There are three different types of one time enrollments, and you can customize the configuration for each of them:


To create and edit one time enrollment policies, go to Settings > Class > One Time Enrollment. To enable or disable policies or change a policy, go to the one time enrollments tab on the class you wish to edit.

Over Capacity

You can set capacity for a class roster on the individual occurrence (also called schedule) of the class. However, there are scenarios where gyms want the option to allow to go over capacity with a class. The over capacity configuration on a class is designed to be a maximum extra seats for all the different one time enrollment types. Each one time enrollment policy has its own configuration to allow that type to utilize the over capacity seating.


Example #1

In this example, you have a full class roster with make-ups and trials enabled for the class. You only allow make-ups to exceed capacity, therefore the only option for one time enrollments is booking 2 make-up spots.


Example #2

This next example allows you to have both make-ups and trials count towards the over capacity seats; and in addition, the class roster is not at capacity. This means the total seats available is 4, and can be used by:

  • Roster enrollment (2 spots)
  • Make-up (3 spots)
  • Trial (3 spots)

Prior to this update, with this configuration you could have had 6 enrollments over capacity because of the maximum per class. But now since we established the maximum over capacity is 2, it will limit those one time enrollments and maximize filling your class.
