How to Process a Refund
If a client does not want a credit applied to their account, you will need to issue a refund based on the payment method used for the original transaction. Card refunds must be processed through the Full Out platform and will be sent back to the client's original payment method. It's important to note that processing times for refunds can vary depending on the payment provider. Always confirm the client’s preference before initiating a refund to ensure a smooth process.
- You can only issue one refund per payment.
- Refunds can not be reversed.
- If you surcharge - the recommended best practice is to refund the customer the surcharged amount.
- When returning a payment, the invoice will reflect the new balance.
Steps to Process a Refund:
- Under the Billing tab, navigate to Payments
- Search for the payment by using one of the following:
- Date of original transaction
- Invoice number
- Amount
- Card Holder Name
- Family Name
- Select the payment that you want to refund
- Click the button "Create Refund"
- Transaction status will be updated to Returned, regardless of it is partial or full refund.
- You can type in the amount that is going to be refunded.
- The system will automatically record today's date and the user who issued the refund.
- Refund category can be customized under Settings > Billing > Refund Categories.
- Additional Notes are available
- Select the Return Payment button to complete!
